Website Content Gathering Templates for Web Designers
Get all the essential content you need from your web design clients with these website content templates, questionnaires and checklists.
-

Website content planner
Give your clients a clear, structured format to write their website content. This planner guides them through exactly how much and what to write for every page you’re creating.
-

Image checklist
Receive the right images, in the right format, before the project begins so you’re not chasing files or resizing low-quality images at the last minute.
-

Branding questionnaire
Gain clarity on how your client wants their branding applied across their website, so you can design with confidence and ensure everything feels aligned.
-

Technical questionnaire
Ensure your website build runs super smoothly by collecting all essential technical details from your client before the project starts.
A website can only ever be as good as the ingredients that go into it.
I've learned this over and over across 100+ website projects. When a client arrives with well-written copy, cohesive professional imagery and complete branding assets, the design process flows, the client is thrilled and you create something you're genuinely proud to add to your portfolio at the end.
But when the inputs are rushed or incomplete – copy that's unclear, low quality imagery (or, shock horror, images taken with a phone!), branding assets that are missing – it shows in the final result, no matter how strong the design.
As designers, it's our responsibility to educate and support our clients on exactly what they need to provide – and what “good” ingredients look like – so we can create the best possible outcome for them.
These four documents do that work for you. They give your clients a clear, structured format to follow for every part of their content preparation so everything arrives ready to go – and you can get straight into doing the work you love.

These website content templates are particularly useful for website designers who are:
Just starting out and not yet sure what to ask clients for – or how to ask for it in a way that gets a good result
Receiving incomplete or poor quality content from clients, which is making projects harder and results less impressive than they could be
Spending too much time chasing missing files, images and copy, when they'd rather be designing
Working with clients who feel overwhelmed by the content preparation process and need clear, calm guidance on where to start
Offering custom or semi-custom website projects and looking for a more structured, repeatable way to gather content from clients
You can run a web design business that feels calm, organised and genuinely enjoyable.
Hello! I'm Alana – an Australian Squarespace web designer with a passion for minimalist business practices and simple, kind living.
When I started my web design business in 2019, I quickly learned that the quality of the websites I was creating came down largely to one thing: the quality of the content my clients provided.
So I got to work creating a set of clear, structured documents to guide my clients through every part of the content preparation process. Documents that leave nothing to chance, eliminate the back and forth and help clients feel calm and confident about what's expected of them.
These are those documents – refined and proven across 100+ successful website projects – and I hope they make as big a difference in your studio as they have in mine.
Here's what your clients will say when they feel supported through the process
-

"The content planners are so helpful in organising my messaging."

Honey Atkinson – photographer and videographer, New South Wales Australia
-

"The whole process was so organised and easy to navigate. I felt 100% confident in what was happening the whole way through."
Bec Shann – permaculture designerNSW, Australia

Proven website content templates
These documents have been refined and proven across 100+ client projects. You don't have to write your own content briefs or second-guess what to ask for. Simply follow the templates, plug in your business details and you're good to go – knowing you're using a tried and tested set of documents that absolutely work.
Professionally designed and fully editable
All four documents are professionally designed and editable so you can make them your own. Add your branding and present them to your clients as part of a polished, professional client onboarding process.
Perfect for any web designer
Whether you're just starting out or you've been designing websites for years – these documents will save you time, reduce back and forth and help you get better content from your clients. And better content leads to better websites, happier clients and projects you're genuinely proud of.
Simple by design
So many website content gathering systems are elaborate and complex. They’re often built across multiple platforms, requiring your clients to learn new tools, create accounts and navigate unfamiliar interfaces, on top of everything else they're already managing during a website project.
For the clients I work with – and likely yours too – that kind of complexity can cause a project to go off the rails before it's even begun.
Small business owners, wellness practitioners, creatives and highly sensitive entrepreneurs are already juggling a lot. Adding another tool to learn is just another hurdle between them and getting started.
And when clients feel overwhelmed, they often procrastinate… and we all know where that leads – delayed content and delayed website projects.
That's why I've kept these templates deliberately simple. They live in a format your clients already know how to use – so there's nothing new to learn and nothing standing in the way of them getting started.
Because the goal isn't to impress your clients with a fancy system. It's to give them something genuinely easy to use (and beautifully designed!) – so they feel good about the process, actually complete it, and you get everything you need to do your job well.
